Reviews & Testimonials
Collect customer reviews and display ratings through email signatures
Review Collection
Turn every customer email into a review opportunity. AdtoSign embeds review prompts directly in email signatures — no extra emails, no manual requests.

Quick Start
Set up review collection in 3 steps:
- Go to Reviews → Platforms and add your review platform (Google, Trustpilot, etc.)
- Go to Signatures and add a Review section to your master signature
- Deploy the signature — review prompts appear automatically
How Review Collection Works
When your team emails customers, a subtle review prompt appears at the bottom of their signature. Customers can click to leave a review on your chosen platform.
How it works

Adding a Review section to a signature
- Open the Signature Builder for a master signature
- In the section panel, drag Review (or Rate My Service) into the layout
- Configure the section:
- Platform — Google Reviews, Trustpilot, G2, Capterra, or custom URL
- Review URL — direct link to your review page
- Prompt text — e.g. "How was your experience? Leave us a review"
- Display style — star icons, button, or text link
- Save the master signature
Recipient Scope for Reviews
Reviews can be configured to appear for specific recipient types using the Recipient Scope and Internal Fields settings:
- External Only — show the review prompt only to external (outside-domain) recipients. Recommended, since internal colleagues are not customers.
- All — show to everyone.
To exclude the review section from internal emails:
- Set the master signature scope to Internal Trimmed
- In the internal fields picker, do not toggle on ratemyservice
- The review section will be stripped from internal emails automatically
Review platforms supported
| Platform | Notes |
|---|---|
| Google Reviews | Use your Google Business Profile review link |
| Trustpilot | Use your Trustpilot review invitation URL |
| G2 | Direct link to your G2 product page |
| Capterra | Direct link to your Capterra profile |
| Custom URL | Any URL (e.g. internal NPS survey, TypeForm) |
Display styles
| Style | Description |
|---|---|
| Star Rating | 5 clickable stars — each links to the review page |
| Button | A styled CTA button (e.g. "Leave a Review") |
| Text link | Simple hyperlinked text |
| Icon + Text | Platform icon alongside a prompt message |
Internal Reviews vs External Reviews
AdtoSign supports two dedicated section types for more control:
| Section | Use case |
|---|---|
| External Reviews | Show review prompt only to external recipients |
| Internal Reviews | Show an internal feedback/NPS prompt to colleagues |
| Review Badges | Display your current review rating as a badge (e.g. "4.8 ★ on Google") |
Use Review Badges to show social proof in outgoing sales or support emails.
Tracking
Every click on a review link in a signature is tracked in the Analytics dashboard:
- Impressions — how many times the review section was seen
- Clicks — how many recipients clicked through to the review platform
- CTR — click-through rate
- Per-user breakdown — see which team members are generating the most reviews
Review Badges
Display your current rating as social proof in signatures.
Setting Up Badges
- Go to Reviews → Badges
- Select platform (Google, Trustpilot, etc.)
- Choose style: Stars only, Rating + Stars, or Full badge
- Copy the badge code
- Paste into your master signature as a Custom HTML section
Badge Styles
| Style | Best For | Example |
|---|---|---|
| Minimal | Clean signatures | "4.8 ★" |
| Standard | Most use cases | "4.8/5 on Google" |

Key Metrics
| Metric | Description | Target |

Viewing Analytics
- Go to Reviews → Analytics
- Filter by date range
- See clicks by user, platform, and time
- Export data for reporting
Best Practices
Getting More Reviews
- Ask happy customers — Target customers after successful interactions
- Make it easy — One-click to review, no forms to fill
- Be specific — "Review us on Google" is clearer than generic "Leave a review"
- Timing matters — Include review prompt on follow-up emails, not first contact
Platform Strategy
- Sales team → G2 or Capterra (B2B software reviews)
- Support team → Trustpilot or Google (general reputation)
- Local services → Google Reviews (local SEO benefit)
- Enterprise → G2 (buyer research platform)
Compliance Tips
- ✅ Do: Ask all customers equally (no cherry-picking)
- ✅ Do: Make review link prominent and easy
- ❌ Don't: Offer incentives for reviews (against most platform policies)
- ❌ Don't: Pressure customers or make it feel mandatory
Signature Placement
- Place review section at bottom of signature
- Use External Only scope (colleagues don't need to review)
- Keep design minimal — stars + short text line
- Test on mobile — many emails read on phones
FAQ
Q: Which review platform should I use? A: Google Reviews for local SEO, Trustpilot for general reputation, G2/Capterra for B2B software.
Q: Can we collect reviews on multiple platforms? A: Yes! Create different signatures for different teams, each targeting a different platform.
Q: Do review prompts hurt email deliverability? A: No — subtle text links don't trigger spam filters. Avoid large images or aggressive CTAs.
Q: Can I see which customers left reviews? A: Review platforms don't share customer identities. You can see aggregate click data in AdtoSign analytics.
Q: How do I respond to negative reviews? A: Monitor your platforms directly and respond professionally. AdtoSign helps generate reviews, but platform management is separate.
Q: Can employees customize their review prompt? A: Admins control review section content. Employees can override their assigned signature but not individual sections.
Manager Review Dashboard
The Manager Review Dashboard rolls up team performance from collected reviews with per-employee attribution, a 2-year trailing window, and an escalation panel that notifies managers when ratings drop below a configurable threshold.
Team Performance Rollup
- Go to Reviews → Team
- See per-employee review averages, counts, and trends
- Filter by date range (up to 2-year trailing window)
- Export team performance reports
Escalation Panel
When an employee's average rating drops below the configured threshold:
- The manager is notified automatically
- The employee appears in the Escalations panel
- Admins can configure the threshold and notification rules
Moderation Queue
Admins get a moderation queue with a pending-count badge:
- Go to Reviews → Moderation
- Review pending submissions
- Approve, reject, or flag reviews
- The pending count appears in the sidebar badge
Employee Review Portal
Employees get their own review portal:
- Go to My Reviews (in the employee sidebar)
- See their rating badges, history, and interactions
- Rating badges can be embedded in their email signature
Key Invariants
- Per-employee attribution is correct — reviews are attributed to the employee who sent the email, not the team or org
- Legacy and enhanced review tables are read by the right consumer (the Team Performance rollup reads from the enhanced table; the moderation queue reads from the legacy table)
- The pending-count badge reflects only unmoderated reviews
AdtoSign provides compose-time "Request a Review" buttons for each email platform -- at parity across Outlook, Gmail, Zoho, and Zimbra. When an employee composes an email, one click inserts a review-request CTA into the body.
Outlook Add-in
The Outlook add-in includes a "Request a Review" button in the compose taskpane.
Prerequisites:
- The Outlook add-in must be deployed (see Deployment)
- RateMyService must be enabled org-wide (Reviews -> Settings)
- The employee must have a synced directory record
How to use:
- Open a new compose in Outlook (desktop or web)
- Click the AdtoSign taskpane icon
- Click Request a Review
- Choose review type (internal and/or external, if both enabled)
- The CTA is inserted at the cursor position
How it works:
- The add-in resolves your review settings automatically based on your synced directory record
- On click, a review-request CTA is inserted into the email body
- Internal-domain recipients are skipped by default (configurable per master signature)
Gmail Add-on
The Gmail add-on provides the same "Request a Review" button in the Gmail compose sidebar.
Prerequisites:
- The Gmail add-on must be installed from the Google Workspace Marketplace
- RateMyService must be enabled org-wide
- The employee must have a synced directory record
How to use:
- Open a new compose in Gmail
- Click the AdtoSign icon in the right sidebar
- Click Request a Review
- The CTA is inserted into the email body
How it works:
- Same flow as Outlook — your review settings are resolved automatically and the CTA is inserted on click
- Runs as a Google Workspace Add-on (no separate install per user once admin deploys)
Zoho Extension
The Zoho Mail extension provides the "Request a Review" button in the Zoho Mail compose window.
Prerequisites:
- The Zoho extension must be installed from the Zoho Marketplace
- RateMyService must be enabled org-wide
- The employee must have a synced directory record
How to use:
- Open a new compose in Zoho Mail
- Click the AdtoSign extension icon
- Click Request a Review
- The CTA is inserted into the email body
How it works:
- Same flow as Outlook and Gmail — your review settings are resolved automatically and the CTA is inserted on click
Zimbra: Request a Review Zimlet
For Zimbra users, AdtoSign provides a Zimlet that adds a "Request a Review" button to the Zimbra compose toolbar -- at parity with the Outlook add-in, Gmail add-on, and Zoho extension.
What Users Get
When an employee composes an email, a Request a Review button appears on the compose toolbar. One click reads the current recipient and subject, and inserts a review-request CTA into the email body.
- No per-user setup; the button reads each employee's review settings automatically
- If both internal and external review types are enabled, a small menu lets the employee choose
- Recipients on your own domain are skipped by default (configurable in AdtoSign)
Prerequisites
- Zimbra Collaboration Server 8.x (classic / "Modern" Ajax web client). ZCS 9/10/X use a different Zimlet spec and are not supported in V1.
- Shell access as the zimbra user (for
zmzimletctl/zmprov), or admin access to the Zimbra Admin Console. - Employees' email addresses must already be synced into AdtoSign (directory sync) so their review configuration resolves.
Installation
Step 1: Allow the AdtoSign domain through the Zimbra proxy (required)
The Zimlet runs in the browser and calls the AdtoSign API through Zimbra's built-in proxy servlet. The proxy refuses any target domain that isn't allow-listed (HTTP 403), so add ours first:
# As the zimbra user. Global (applies to all):
zmprov mcf +zimbraProxyAllowedDomains "*.adtosign.com"
# If you manage allowed domains per Class of Service, add it to each COS too:
zmprov mc default +zimbraProxyAllowedDomains "*.adtosign.com"
Skipping this step is the #1 cause of "button does nothing" -- the proxy returns 403 and no request reaches AdtoSign.
Step 2: Deploy the Zimlet
# Download from AdtoSign
wget -O /tmp/adtosign-zimlet-v1.zip https://www.adtosign.com/zimlets/adtosign-zimlet-v1.zip
# Deploy (as the zimbra user)
zmzimletctl deploy /tmp/adtosign-zimlet-v1.zip
Step 3: Grant on the right Class of Service
If your users are on a COS other than default, grant the Zimlet there:
zmzimletctl acl com_adtosign_review_request <cos-name> grant
Step 4: Have users reload
Users reload the Zimbra web client (full refresh / re-login). The "Request a Review" button appears in the compose toolbar.
How It Works
- The Zimlet resolves each employee's review settings automatically (through Zimbra's server-side proxy)
- On click, a review-request CTA is inserted into the email body
- No backend change needed -- reuses the same flow as Outlook, Gmail, and Zoho
Troubleshooting
| Symptom | Cause / Fix |
|---|---|
| No button on the compose toolbar | Zimlet not granted on the user's COS, or the client wasn't reloaded. Re-check Step 3 and refresh. |
| Button does nothing / network error | The proxy domain isn't allowed. Run the Step 1 zmprov command. Confirm https://www.adtosign.com is reachable from the Zimbra server. |
| "That recipient is on your own domain" | Internal-domain suppression is on (default). Adjust per master signature in AdtoSign if needed. |
| Button shows "not enabled" toast | The signed-in user has no synced AdtoSign record, or no review type is enabled on their master signature. Check directory sync and the signature's Reviews tab. |
