Complete user guide for email signature management, banners, reviews, and deployment

AdtoSign User Documentation

Welcome to AdtoSign — the enterprise email signature management platform. This guide covers everything you need to create, deploy, and optimize professional email signatures for your organization.

Quick Start

New to AdtoSign? Get up and running in 15 minutes:

  1. Connect your directory — Link Microsoft 365, Google Workspace, Zoho, or Zimbra
  2. Create a signature — Design your master template
  3. Deploy to your team — Push signatures to all users
  4. Add a banner (optional) — Run promotional campaigns
  5. Collect reviews (optional) — Get customer feedback

Feature Guides

Core Features

  • Signatures — Create master templates, user variations, internal/external scopes, and best practices
  • Recipient Scope — Control what your signature looks like for internal vs external recipients
  • Geographic Targeting — Scope signatures and banners by country, state, or city
  • Rate My Service & Reviews — Collect customer feedback with Rate My Service, External Reviews, and Internal Reviews sections
  • Directory — Connect Microsoft 365, Google Workspace, Zoho, or Zimbra to sync user data
  • Deployment — Deploy to Office 365, Google Workspace, Zoho, Zimbra, Outlook Add-in, or the Signature Gateway

Marketing & Engagement

  • Banners — Run targeted campaigns, schedule promotions, and track performance
  • Internal & External Banners — Show different banners for internal vs external recipients
  • Reviews — Collect customer feedback and display rating badges

Governance

Analytics & Insights

  • Analytics — Track signature views, banner clicks, and review generation

Security & Infrastructure

  • Email Data Handling — Which delivery paths route mail through AdtoSign, what the signature gateway does (and never does), exact retention bounds, and DKIM key custody + revocation — the page security teams cite in vendor reviews
  • Vendor Security Questionnaire — Pre-filled answers to the standard third-party risk questionnaire categories (data handling, encryption, access control, DR, incident response)
  • Infra Status — Monitor real-time health of all 4 regions (US, India, EU, APAC) from the in-app dashboard at App → Infra Status. A header indicator gives at-a-glance status.
  • Least-Privilege Access — The application runs with a restricted database role limited to data operations only — no schema changes, no privilege grants. Row-Level Security isolates every tenant's data at the database layer.
  • Encrypted Connections — All database connections require validated TLS certificates. No self-signed certs accepted.
  • Secure Gateways — Signature gateways authenticate with dedicated HMAC secrets, never database credentials.
  • Webhook Idempotency — Payment webhooks are deduplicated automatically, preventing double charges on provider retries.
  • Disaster Recovery — Cross-region failover with credential rotations backed up securely.
