Connect your employee directory and manage user data for signatures

Directory Connections

Connect AdtoSign to your employee directory (Microsoft 365, Google Workspace, Zoho, or Zimbra) to automatically sync user data for signatures.

Quick Start

Connect your directory in 3 steps:

  1. Go to Directory → Connections
  2. Click Add Connection
  3. Select your provider and follow the authentication steps

Setting Up a Connection

Microsoft 365

  1. Go to Directory → Connections
  2. Click New Connection
  3. Select Microsoft 365
  4. Sign in with your Microsoft admin account
  5. Grant permissions for user read access
  6. Select sync frequency (recommend: Hourly)
  7. Choose which users to sync:
    • All users
    • Specific groups
    • Specific departments

Google Workspace

  1. Go to Directory → Connections
  2. Click New Connection
  3. Select Google Workspace
  4. Authenticate with your Google admin account
  5. Grant directory read permissions
  6. Set sync frequency
  7. Configure user filters if needed

Zoho Mail

  1. Go to Directory → Connections
  2. Click New Connection
  3. Select Zoho
  4. Enter your Zoho organization details
  5. Authenticate with Zoho credentials
  6. Set sync preferences

Zimbra

Zimbra works differently from the other providers. Instead of OAuth, it uses a server URL + admin auth token (SOAP API).

  1. Go to Directory → Connections
  2. Click New Connection
  3. Select Zimbra
  4. Enter your Zimbra Server URL:
    • On-Prem / Hosted: https://mail.yourcompany.com:7071 (admin port)
    • Zimbra Cloud: https://mail.yourcompany.com (port 443)
    • The /service/admin/soap/ path is appended automatically
  5. Enter your Admin Auth Token:
    • Mint a token by sending an AuthRequest to your Zimbra admin SOAP endpoint with your admin username and password
    • Or copy a token from the Zimbra Admin Console
    • Token must have GetAllAccountsRequest and DelegateAuthRequest rights
  6. Toggle Allow self-signed certificate if your on-prem server uses a self-signed TLS cert (port 7071)
  7. Select sync frequency
  8. Click Test Connection to verify
  9. Click Save Configuration

Zimbra admin tokens expire (default ~12 hours). When sync fails with an auth error, return to the connection setup and paste a fresh token.


Managing Synced Users

Viewing Users

  1. Go to Directory → Users
  2. See all synced users with their data
  3. Search by name, email, or department
  4. Filter by location or role

Manual Sync

Need immediate updates? Trigger a manual sync:

  1. Go to Directory → Connections
  2. Find your connection
  3. Click Sync Now
  4. Wait for completion (usually 1-5 minutes)

Sync Logs

Sync run history is available on the Connections page:

  1. Go to Directory → Connections
  2. Scroll to the Sync Logs section below the provider cards
  3. Filter by time range (24h / 7d / 30d / 90d / All Time)
  4. Adjust rows per page (10 / 25 / 50 / 100)
  5. Use numbered pagination to browse older runs

Each sync log entry shows the sync run timestamp, status, and number of users synced.

User Groups

Organize users into groups for easier signature assignment.

Creating Groups

  1. Go to Directory → Groups
  2. Click New Group
  3. Name the group (e.g., "Sales Team")
  4. Add users manually or by filter

Using Groups

  • Assign signatures to entire groups
  • Target banners to specific groups
  • Run reports by group

Customize how directory fields map to signature fields.

Custom Mappings

  1. Go to Directory → Field Mappings
  2. Click Add Custom Mapping
  3. Select source directory field
  4. Select target signature field
  5. Save changes

Troubleshooting

Connection Errors

Error: "Authentication failed"

  • Check admin credentials
  • Verify permissions granted
  • Re-authenticate if token expired

Error: "Rate limit exceeded"

  • Reduce sync frequency
  • Contact provider to increase limits

Error: "Users not appearing"

  • Check directory filters
  • Verify users are in synced groups
  • Check field mapping configuration

Data Issues

Missing phone numbers:

  • Verify phone fields populated in directory
  • Check field mappings
  • Consider manual override for key users

Wrong department names:

  • Update in your source directory
  • Sync will update automatically
  • Use group assignment as workaround

Photos not showing:

  • Verify photos exist in directory
  • Check privacy/sharing settings
  • Use default avatar as fallback

FAQ

Q: How often does sync run? A: You choose: Hourly, Daily, or Weekly. Manual sync available anytime.

Q: Can I sync multiple directories? A: Yes — useful for merged companies or multi-platform environments.

Q: What happens when an employee leaves? A: When disabled in directory, their signature stops being generated within one sync cycle.

Q: Can I override directory data for specific users? A: Yes — go to Signatures → Users and edit individual user overrides.

Q: Is directory data secure? A: Yes — encrypted in transit and at rest. Read-only access, no write-back to directory.

Q: Can users see other employees' data? A: No — users only see their own signature and data.
