Banners & Campaigns
Run targeted promotional campaigns inside email signatures with scheduling and analytics
Email Signature Banners
Turn every email into a marketing opportunity. Banners let you promote events, products, and announcements directly in your team's email signatures.

Quick Start
Create your first banner campaign in 5 minutes:
- Go to Banners in the sidebar
- Click New Banner
- Upload an image (recommended: 600×200 pixels)
- Set the link URL (where clicks go)
- Set start and end dates
- Click Save — it goes live automatically
What Are Banners?
Banners are promotional images that appear at the bottom of email signatures. Every email your team sends becomes a marketing touchpoint.
Banner types
Campaign Banners
Active banners with a fixed start/end date. These are the banners that actually run in email signatures. They can be:
- Created manually from scratch
- Deployed from a Master Banner template
Master Banners
Reusable banner templates. An admin creates and designs the banner once, then deploys it as a campaign banner for a specific date range.
Creating a Campaign Banner
- Go to Banners in the sidebar
- Click New Banner
- Upload or paste an image URL
- Set the Link URL (where the click goes)
- Set Start Date and End Date
- Configure targeting (see below)
- Click Save
Targeting
Audience targeting
| Option | Description |
|---|---|
| All Users | Banner shows for every user in the org |
| Master Signature | Only users assigned to specific master signatures |
| Specific Users | Target individual users by name |
Geographic targeting
Restrict a banner to users in a specific region:
- Global — all users (default)
- Country — e.g. only users with country = "US"
- State — e.g. only users with state = "California"
- City — e.g. only users with city = "London"
Geographic data is pulled from your directory sync (Microsoft 365, Google Workspace, Zoho, or Zimbra).
Recipient Type targeting
Control whether a banner shows based on the direction of the email (internal vs external).
See Internal & External Banners for the full setup guide, selection logic, and combining with geographic targeting.
Banner Priority
When multiple banners are eligible for a user at the same time, AdtoSign selects one using this priority order:
- Override banner (highest priority — overrides all others)
- User-specific banner
- Master-signature-specific banner
- Org-wide banner
- Master Banner fallback (if no campaign banners are active)
Within each tier, Priority score (set manually) breaks ties, then creation date (newest first).
Override Banners
An Override banner automatically deactivates any conflicting active banners and takes the top spot. Use this for emergency or time-sensitive campaigns (e.g. a product launch or critical announcement).
To mark a banner as Override: toggle Override when creating or editing the banner.
Master Banner Templates
Creating a master banner
- Go to Banners → Templates tab
- Click New Template
- Upload the image, set link URL, placement, targeting, recipient type, and geographic scope
- Click Save
Deploying a master banner
- In the Templates tab, find your master banner
- Click the Deploy (→) button
- Set the campaign start and end dates
- Confirm — a campaign banner is created inheriting all settings from the template (including recipient type and geo scope)
Fallback master banner
Mark a master banner as Fallback to use it automatically when no campaign banners are active. This ensures signatures never have an empty banner slot.

Best Practices
Design Tips
- Size: 600×200px works best (scales to mobile)
- File size: Keep under 100KB for fast loading
- Format: PNG for graphics, JPG for photos
- Text: Minimal text, large fonts, high contrast
- CTA: Clear call-to-action button or text
Campaign Strategy
- Plan ahead — Schedule campaigns 2+ weeks early
- Rotate regularly — Change banners monthly to avoid fatigue
- Target wisely — Not every banner needs to go to everyone
- Track results — Check analytics weekly
- A/B test — Try different images for same campaign
Common Mistakes to Avoid
- ❌ Too much text on banner (illegible in email)
- ❌ Forgetting end dates (campaign runs forever)
- ❌ Broken links (always test before deploying)
- ❌ Wrong targeting (sales banner to support team)
- ❌ No fallback (empty banner slot when nothing active)
FAQ
Q: How many banners can be active at once? A: Multiple banners can run simultaneously. Each user sees one banner per email based on priority rules.
Q: Can users hide or disable banners? A: No — banners are controlled by admins to ensure consistent messaging.
Q: Do banners work on mobile email? A: Yes, banners are responsive and scale to fit mobile screens.
Q: Can I schedule banners for different time zones? A: Banners use your account timezone. For global campaigns, consider creating region-specific banners.
Q: What happens when a banner expires? A: It automatically stops showing. If you have a fallback master banner configured, that takes over.
Q: Can I see who clicked my banner? A: Analytics show aggregate clicks, not individual user data for privacy compliance.
